How to use Hubl —
Cases

Cases is where you record the things you hope won’t happen — an accident or near miss, an EHO visit, an alleged food poisoning or foreign body. Guided steps capture everything the first time, flag RIDDOR where it applies, and every case is signed off by a manager to close. Here’s the whole flow.

The one thing to learn

Five case types, one guided flow

Tap + on the Cases screen and pick what happened. Each type walks you through its own short set of steps — only the questions that matter for that kind of case:

EHO Visit 6 steps

An inspection — who came, what they found, the outcome.

Accident / Near Miss 5 steps

Injuries, immediate action, RIDDOR and corrective actions.

Other Issue 3 steps

Anything else worth a record — quick and simple.

Alleged Foreign Body 9 steps

The complaint, the item, the product and the investigation.

Alleged Food Poisoning 10 steps

Symptoms, timeline, what was eaten — captured properly.

Good to know Every case gets its own reference the moment it’s opened — prefixed by type, like AC-00002 for an accident or FB-00001 for a foreign body — and moves through Open → In progress → Closed.

Raise a case

Open the menu (☰), tap Cases, then the + button. This example follows an Accident / Incident or Near Miss:

  1. Pick the case type — they’re grouped into Incidents and Food safety, each showing how many steps it takes.
  2. Step 1 — what, when and where: choose the Site and Incident type (accident or near miss).
  3. Set the Date & time — the picker lets you backdate to when it actually happened — and the Location (“Kitchen”).
  4. Step 2 — who was involved: their Role (employee, worker, visitor…) and Full name.
  5. Phone and email are optional — fields marked * are the ones you must fill. Tap Next.
Good to know Near misses matter — logging them is how patterns get spotted before someone is hurt, and the flow is identical.

The record that counts Steps 3–4

Injuries & RIDDOR

Step 3 captures what happened; Step 4 asks the legal question. The form only expands when it needs to:

  1. Write a brief Description of event and the Immediate action taken — first aid given, area made safe, equipment isolated.
  2. Was anyone injured? Answer Yes and the injury fields appear: Nature of injury, Part of body and Treatment / outcome.
  3. Record whether they were sent to hospital, any expected time off work, and — if first aid was given — the first aider’s name and treatment given.
  4. Is this reportable under RIDDOR? Choose Yes, No or Unsure — needs review.
  5. If Yes: tick the RIDDOR categories that apply, then record the date reported to HSE, the reporting method and the HSE reference once you have it.

The RIDDOR categories you can tick:

RIDDOR is a legal duty Certain incidents must be reported to the HSE under RIDDOR. If you’re not certain, pick Unsure — needs review — the case is flagged so a manager can make the call promptly rather than the question being lost.

Actions, then close the case

The last step is about stopping it happening again — and a case only closes when a manager confirms that’s done:

  1. Corrective & preventive actions: the Action (“Fix kitchen floor tile”), the Person responsible, a Due date and its current status, plus the Preventive measures in detail.
  2. Submit — the case opens with its reference (“Accident case AC-00002 has been opened”) and appears at the top of the Open tab.
  3. From the case screen you can Add note (with your initials) as things develop, or Move to in progress while it’s being handled.
  4. When the actions are done, tap Close case — the manager adds their name and sign-off date, and ticks to confirm all corrective and preventative measures are implemented.
  5. The case shows as Closed with the sign-off stamped — and if something resurfaces, Re-open puts it straight back in play.
Good to know Notes are timestamped and initialled — a running log of the investigation that stays with the case for good.
The bigger picture Reporting dashboard

Every case, every site — on the dashboard

Cases logged in the app land straight on the Hubl reporting dashboard, where managers see the whole estate. All Cases is the master list — and the Incidents and Food Safety pages add the trends behind it:

  1. Open All Cases in the sidebar — every case across your sites in one table, with the RIDDOR, Open, In Progress and Closed counters along the top.
  2. Filter by Group (Incidents / Food Safety), Type, Status or RIDDOR, set the date range, and tap the eye to read any case in full.
  3. Incidents charts the trend week by week, splits cases by type and compares sites — flagging any running above average.
  4. Food Safety does the same for alleged food poisoning and foreign bodies, with per-site breakdowns.
  5. Need to raise one from the desk? + New Case opens the same five guided case types.

Before you ask

Quick answers

What’s the difference between Incidents and Food Safety cases?

Incidents cover EHO visits, accidents / near misses and other issues. Food Safety covers alleged foreign body and alleged food poisoning complaints. The dashboard filters group them the same way.

I’m not sure whether it’s RIDDOR reportable — what do I pick?

Choose Unsure — needs review. The case is flagged so a manager can decide, and the RIDDOR details can be completed once the call is made.

Who can close a case?

Closing asks for a manager’s name and sign-off date, plus a ticked confirmation that all corrective and preventative measures have been implemented — so it’s a manager’s decision, on the record.

We closed a case and something new has come up — now what?

Open the case and tap Re-open. It goes back into the live list and the full history, notes and sign-off trail stay intact.

It happened this morning — can I backdate the case?

Yes — the Date & time field in Step 1 has a picker, so record the moment it actually happened, not the moment you logged it.

Can I pause the clips?

Tap or click any clip to pause it; tap again to play.

Cases are your evidence trail — for the EHO, for insurers, and for RIDDOR where it applies. Log it when it happens, keep the notes coming, and close it only when the fix is real.
